Start by creating an account, a household and a storage location. Add a wine, then the bottles you own. Tasting notes, scans and tasting events are separate records; they do not change your inventory unless you confirm an inventory action.
Create your account and household
Open the app, choose Create account and enter your own details. Confirm your email address. Create a household to start an empty collection.
Joining another collection? Use the invited email address, sign in and accept the private code through Settings. Opening an invitation email does not automatically add you. Switch between households you belong to through the account menu.

Open the CellarMemo icon and sign in with your own account. Your collection needs an internet connection.
Choose English/Dutch and light/dark in the account menu. These preferences are saved per browser or device. Your collection requires an internet connection.
Name your storage locations
Open Locations and add a location. Create or select a room such as Wine fridge, Kitchen fridge or Cellar, then add a position such as Shelf 2. A room belongs to a household; it is not an additional household. Move any present or reserved bottles before deleting their location.
Add a wine, then add bottles
Enter the details you know. Choose Unknown when the vintage is unknown, and NV only for a non-vintage wine. Check producer, wine name, vintage and bottle size before accepting a match.
Confirm the wine registration, then add bottle quantity, size and location and confirm the inventory proposal. Registration and stock are separate steps: a wine can exist without bottles in stock.
Scan a label and check the details
Use a clear front-label photo, optionally with the back label. Free OCR reads text on your device. AI recognition requires access rights and an active service; you confirm sending photos beforehand.
A printed year may be a winery's founding year. Leave uncertain details blank. Choose view only, save to your scan list, add to your wines or save buying interest. A scan alone does not add inventory. Confirm the edition, quantity and location when adding bottles.
Keep label photos
Each wine edition has two active photo positions: front and back. Check that an online image matches the wine and bottling. A different label year is marked separately. Supported large images are resized on your device before upload. Use a JPEG copy if your browser cannot open HEIC.
Record a tasting without consuming a bottle
Choose a household wine or guest wine, and add date and place. Work through appearance, aroma, palate and quality/development. Use suggestions and your own words. Scores are whole points from 0 to 10.
Previous and Next retain entries in the open form; the save button stores the note on the server. Only the deliberate Drink bottle action changes stock. A guest wine is not automatically added to inventory.
Create a tasting and keep buying interest
Add a name, date, place and household or guest wines to a tasting event. Notes can be edited later. Export buying interest to Excel or email it to your own confirmed address. This does not place an order with a supplier.
Clearing scans removes saved scans and their photos. Clearing buying interest removes that list, not your notes or collection. Each action asks for confirmation.
Check purchases and PDF invoices
Review extracted PDF lines, supplier, prices/tax and locations before confirming the proposal. Scanned or unreadable PDFs may need manual entry. Editing a purchased quantity does not automatically change current stock.
Deleting a purchase gives a deliberate choice about the record and, where allowed, linked stock. Consumed or reserved bottles can prevent a reversal. Deleting an invoice alone leaves the purchase and stock. Keep purchase price, archive reference and sourced shop price distinct.
Export your data and find help
In Settings, choose Excel export and select sheets and fields. The export includes data and metadata, not embedded label-photo or invoice-PDF files.
Save work before applying an app update. Reopen the home-screen app if an old screen remains. For help, email support@cellarmemo.com with your device, action and error message. Read the FAQ.
