Organise a wine collection by counting the bottles, recording each wine and vintage, and giving every storage location a clear name. Keep a suitable place for the bottles you plan to store, then update the inventory when wine arrives, moves or is opened.
Start with one shelf
Choose a manageable part of your collection. Put the bottles where you can read their labels and group the ones that are genuinely the same wine and edition. Record the producer, exact name, vintage and quantity before moving to the next shelf.
Keep different vintages as separate entries. A wine from 2020 and the same name from 2022 can have different character and drinking advice. A few careful minutes now make later choices easier.
Give locations everyday names
Use names that make sense in your home: wine cabinet, fridge, spare-room box. If a location needs more detail, add a shelf or position. Then choose labels you can maintain as the collection grows.
A small written shelf plan can help another member of the household find a bottle. Keep it close to the storage area, or use locations in your inventory. The system should feel familiar when you are choosing wine for dinner.
Decide what the physical groups mean
You might group bottles by colour, style or country. Another approach is to keep wines for near-term meals within easy reach and longer-term bottles in their suitable storage place. Choose a system that suits the space and the way you select wine.
Keep movement simple. If a bottle goes from the cabinet to the fridge, update its location. You will save yourself the tour of every room when someone asks where that particular white has gone.
Make purchases easy to put away
Record new bottles when they arrive, while the labels and purchase details are still in front of you. Add their location before putting away the box. This small routine turns a delivery into an updated collection.
When you open a bottle, record the stock change. Keep your tasting impression as a separate note. You can then follow what remains and remember how the wine tasted.
A quick collection check
- Do the recorded quantities match the bottles on the shelf?
- Are different vintages recorded separately?
- Can you find a bottle from its location description?
- Are uncertain label details marked for checking?
- Does each bottle you are keeping have a reason or a review plan?
Repeat the check when it suits your collection: after a few purchases, before planning a tasting, or when you reorganise a storage space.
Give future-you a little help
A note such as “try with the next mushroom dinner” is a welcome reminder. For bottles you are keeping, save relevant advice and revisit it. Our drinking window guide explains how to make that advice useful.
